JOB TITLE: Volunteer Coordinator & Development Assistant

REPORTS TO: Director of Resource Development

· Hours Needed: Monday through Friday, 11:00 – 7:00 p.m. Ability to maintain flexible core daytime schedule, with occasional weekend work, including up to two weekends a month, would be ideal.

POSITION SUMMARY: Assists theDirector of Resource Development with volunteer coordination, including scheduling volunteers, orienting new volunteers and ensuring that volunteers have a good experience with the organization. This position is also responsible for assisting theDirector of Resource Development with fundraising activities, including the organization’s Annual Benefit, Tag Days, and working with corporate volunteers.

ROLE QUALIFICATIONS:

· Must have experience building, developing, and managing volunteer resources.

· Must possess outstanding interpersonal, oral and written communication skills.

· Must demonstrate significant success working with diverse economic, cultural and faith-based groups.

POSITION RESPONSIBILITIES:

· Schedule the appropriate amount of volunteers to work in the Community Kitchen.

· Coordinate and facilitate A Just Harvest volunteer orientations.

· Establish and maintain effective communications with volunteers.

· Develop and implement strategies to recruit additional volunteers as needed (for example, posting volunteer opportunities on internet volunteering sites)

· Manage the collection and entry of volunteer contact information and other data.

· Respond to all requests, inquiries, and messages in a timely manner; refer inquiries as appropriate

· Help recruit, train and place volunteers for our annual small fundraisers, such as Tag Days, CROP Walk and Hunger Walk.

· Assist with various components of the Annual Banquet in October, including compiling the list of Volunteers of the Year, tracking ticket sales, managing basic logistics and assisting as needed with the Annual Magazine.

· Provide public education on A Just Harvest’s mission, advocacy, and direct service.

· Represent A Just Harvest at local and regional volunteer/service/mission fairs, congregational events, related ministry and denominationally based meetings, and faith-based advocacy groups.

· Assist Development Director in recruiting and engaging corporate volunteers and young professionals in the work and mission of A Just Harvest.

· Attend staff, agency, and inter-agency meetings, trainings and seminars as assigned.Participate in the agency’s public relations and fund raising activities as required

· Research specific fundraising opportunities.

· Assist with maintenance of the data base and the timely thanking of donors.

ESSENTIAL SKILLS & EXPERIENCE:

· Excellent written, oral, interpersonal and public speaking skills.

· Minimum two year’s experience with volunteer or human services management/coordination.

· Exemplary organizational skills and keen attention to detail.

· Familiarity with Microsoft Word.

· Able to work comfortably with diverse constituencies.

· Previous fundraising experience, either as staff or as a volunteer.

Special Events and Communications Intern at Les Turner ALS Foundation

The Special Events/Communications Intern is a paid internship, starting in June and ending in October. This individual will serve as a member of the fundraising team and will report to Liz Melvin Special Events Manager. S/he will also work with the Communication Manager on projects as needed. The Race for the Cure Intern will assist the Race Manager with various projects focused on our (2) Race for the Cure events. Events Intern - After School Matters

SUMMARY OF POSITION:

The Events Intern will assist in the planning, production and execution of high-quality internal and external events in collaboration with donors, board members, partners, teens and staff. This position is part of a busy team that produces up to four major, high-profile fundraising events each year along with several smaller events throughout the year. These events may include, but are not limited to, the After School Matters Gala, After School Matters Citywide Showcase, staff holiday festivities and retreats, and teen performance auditions and rehearsals.

Major Duties and Responsibilities:

  • Assist on-site at fast-paced, high-profile fundraising events, as well as teen rehearsals, arts programs, staff events, and media appearances
  • Assist with complicated logistics for meetings, rehearsals and events including securing location, room set-up, audio/visual needs, food and beverage, etc.
  • Take on a variety of administrative projects and day to day tasks including large mailings, assembly projects, and maintenance of files
  • Maintain inventory of event department supplies, including equipment and materials at warehouse and other storage areas to ensure efficiency in the department
  • Coordinate the shipping of materials to and from events
  • Write and proofread documents and collateral materials
  • Assist with the design and ordering of collateral materials
  • Monitor progress of teens on a variety of projects (table art, performance, culinary, etc.), ensuring all necessary information and paperwork is distributed/collected in a timely manner
  • Assist with coordination of friends and family receptions, including invitations, ticketing, rsvp tracking, transportation, catering, etc.
  • Help with the solicitations of in-kind donations of food, beverages, etc.

External Affairs VISTA

Overview:

The Shriver Center provides national leadership in advancing laws and policies that secure justice to improve the lives and opportunities of people living in poverty.

Responsibilities:

The External Affairs VISTA will assist with the Shriver Center’s development and outreach through the following activities:

  • Interact via mainstream media with news reporters, potential policymakers & staff,advocates, and other prospective constituents

Salary/Benefits: Please note that this is a 12-month volunteer position with benefits funded by the Americorps*Volunteers In Service to America (VISTA) program. The Adler Planetarium is seeking a Museum Sales and Membership Intern to conduct a variety of projects related to online ticket sales, field trip marketing, and membership. The Museum Sales and Membership Intern will report to the Director of Visitor Services and Membership, and work with staff in the areas of group sales, membership, and databases.

Duties & Responsibilities:

• Conduct a competitive analysis of online ticketing practices
• Develop potential lead lists for group sales
• Conduct and analyze a survey of field trip users
• Answer the Members’ Hotline and service members and interested visitors with questions and requests
• Become familiar with the membership and ticketing databases, to help with select projects
• Provide general assistance to the group sales, visitor services, membership, and advancement as needed.

Special Events Intern

The AIDS Foundation of Chicago (AFC) is seeking a responsible and motivated individual to intern in its Development Department. The Special Events Intern for Summer/Fall 2012 will assist in all levels of planning for the AIDS Run & Walk Chicago, AFC’s largest outdoor fundraising event, and World of Chocolate, an event commemorating World AIDS Day. This is an incredible opportunity to learn the steps involved in organizing major fundraising events for more than 10,000 participants. This intern will gain exposure to corporate and foundation fundraising in a non-profit setting.

The Special Events Intern will directly assist the Development Department with phone solicitations, letter and proposal writing, vendor negotiations, volunteer recruitment, and event logistics. During her/his tenure, the intern also will have the opportunity to learn how fundraising events directly support the mission of AFC.

The Special Events Intern will learn:

  • Management of event logistics, including: development of the site plan, oversight of setup/break-down materials, management of staffing needs, activities coordination, and supply delivery;
  • How to analyze and work within budgets; maintain accurate accounting of event costs and income and create purchase orders for vendor payment;
  • How to compile results from the event, perform preliminary evaluation of performance to goals, and provide results to supervising staff;
  • Based on evaluation and event briefing sessions, how to recommend improvements for the future as appropriate.

Qualifications:

  • Current enrollment in a graduate or undergraduate degree program with an interest and aptitude to work in the special events field;
  • Students majoring in special event planning, marketing, communications, hospitality, non-profit management or public relations;
  • Strong written and verbal communication skills;
  • Ability to prioritize tasks and handle numerous concurrent assignments;
  • Proficient in Microsoft Office applications;
  • Passion for social justice issues and the fight against HIV/AIDS;
  • Volunteer experience or familiarity with non-profit organizations preferred.

The internship’s goals include imparting on-the-job training and experience in an expanding special events field. The Special Events Intern will work closely with the Development Department to gain conceptual knowledge, along with the hands-on experience of completing specific tasks associated with event planning. At the end of his/her internship, the Special Events Intern will have working knowledge of special event planning and private/meeting planning tasks, processes and budgeting, which he/she will be able to translate into future career opportunities.

The candidate will also gain familiarity with a variety of Chicago area corporate and foundation funders, including those that specifically fund HIV/AIDS programs and services, and have opportunities to network with program staff, policy staff, development staff, and the broader community.

This internship is unpaid (stipend available), however, AFC can help interns obtain college credit for their work, where available. The intern will receive necessary training and staff supervision. We require a minimum of 15 hours/week for a minimum of 8 weeks, though longer internships are preferred.
